San Diego EarthWorks manages all EarthFair Applications via our on-line registration system. You can create an account for yourself, fill out your Exhibitor Application, review and change the application at any time, and download your event setup and logistics information before the fair.
Important Dates
- March 30, 2022: Last day to register and pay without incurring a $75 late registration fee.
- April 18, 2022: Last day for exhibitors to register and pay.
- April 28, 2022: Sales reports due for exhibitors conducting sales at EarthFair.
The Registration Process
Exhibitor registration consists of a few basic steps:
- Decide on the size of your exhibit space, and the exhibit materials you want to rent.
- Study the Supporting Materials, including the EarthFair Participant Guidelines and Cannabis-related Rules and Regulations. You will be required to agree to abide by these rules to participate in EarthFair.
- Login to the EarthFair Registration System, using your existing account, if you have one, or by creating a new account if you do not.
- Select and fill out the Cannabis Village Exhibitor Registration form.
1. Exhibit Space Size and Exhibit Materials
An EarthFair exhibit consists of one or more 10' x 10' spaces. All exhibitor materials must be place within this footprint to avoid interfering with adjacent exhibitors.
You will be asked to choose one of the following basic configurations:
- Single Table Space: 10' x10' space; 8' x 30" table with tablecloth; 2 chairs.
- Double table Space: 10' x20' space; two 8' x 30" tables with tablecloths; 4 chairs.
- Single Booth Space: Single table space with exhibit booth (canopy top, full height backdrop, and side curtains).
- Double Booth Space: Double table space with exhibit booth (canopy top, full height backdrop, and side curtains).
In addition, for an additional fee you may add:
- Additional 10' x 10' Spaces adjacent to your basic configuration, either with or without an exhibit booth.
- Additional Tables and Chairs.
- A Popup canopy top (10' x 10').
- A Custom Namesign. Every exhibitor gets one free namesign. For a modest fee you can order another, or add your own logo or a QR code to your namesign. Find out about namesigns here.
- Site Selection. Sponsors are given first choices for site selection. Next, we often place repeat exhibitors in the same location as prior years; new exhibitors are placed randomly in other unoccupied sites. For a $100 Site Selection fee, you can select your own site from a map we provide about 2 weeks before EarthFair. Site Selections are performed on a first-come, first-served basis for fully-paid exhibitors.

2. Supporting Materials
It is important that you review the following documents. If you have exhibited before, you will find this familiar. If you have not exhibited before, look it over especially carefully; you will need this information to complete the application.
- About Exhibiting at EarthFair. Read this if you haven't exhibited at EarthFair before.
- EarthFair Exhibit Area Map. Cannabis Row is located in Exhibit Area 8, as shown on the map. The exhibit space is all outdoors, on a lawn area.
- EarthFair Participant Guidelines. As part of the application process you will be required to agree to comply with these rules and guidelines. Please read them carefully.
- Special Cannabis-related Rules and Restrictions. In compliance with the City of San Diego Municipal Code and Balboa Park regulations, exhibitors must observe the following:
Pursuant to San Diego Municipal Code section 22.4033, the City of San Diego prohibits the selling, reselling, offering to sell, and distribution of marijuana or marijuana products within a Special Event venue. In addition, pursuant to San Diego Municipal Code sections 42.1303 and 43.1002, the smoking, vaping and ingesting of marijuana or marijuana products is prohibited at Special Events, in any public place, or in any place open to the public.
No Cannabis Row promotional signage should be visible from either Presidents Way (to the east) or the Pan American Plaza (to the north). In particular, exhibitor sites adjacent to the sidewalk must orient their signage so that it does not face the street (Presidents Way). This is in keeping with city requirements.
Exhibitors failing to observe these conditions may be shut down and/or cited for non-compliance, without any refund.
- Insurance. Any exhibitors that perform a hands-on procedure with EarthFair attendees, such as massage, are required to provide proof of liability insurance, naming the City of San Diego as additionally insured. Certain other exhibitors may also require such insurance. In general, EarthWorks will inform you if insurance is required. Click here for the insurance requirements.
- Using EarthWorks Web Promotion Tools. Follow these instructions before or after registering to maximize visitors to your exhibit.
- San Diego Earth Times Advertising. An Earth Times ad promotes your organization and helps support EarthFair.
